Notion AI alternative

Notion AI alternative: meeting notes and team docs fed by your whole workday

Notion AI works inside Notion: it takes meeting notes into your workspace and answers from your pages and connected apps. Cachejay records calls on your Mac too, and also keeps your screen, coding-agent sessions and projects, so the docs and boards your AI apps update know what happened between meetings.

Which one to pick

Stay with Notion AI if your team already plans, writes and tracks work in Notion. Meeting notes land next to the specs and databases you use every day, Notion Agent edits them in place, and Enterprise Search reaches Slack and GitHub. If the answers you need are in Notion, adding another tool won't help much.

Evaluate Cachejay if the answer you need usually isn't written down anywhere: what was on your screen, what a coding agent did overnight, a call you never wrote up. Cachejay keeps that as you work, and Claude, ChatGPT, Codex or Cursor turn it into team docs and keep boards moving, without anyone filing a page first.

If you only need bot-free meeting notes, compare Granola and Otter as well. All comparisons are on the alternatives page.

Where the audio and text go

Cachejay transcribes live on the Mac while you talk; both sides are finished by OpenAI through Cachejay's server, the audio is deleted once it's transcribed, and transcripts and notes sync to your account. Hosted summaries go to an AI provider, and connected assistants receive only what they look up. See Cachejay's data controls.

Notion sends meeting audio to its sub-processors for real-time transcription and says they don't store it; a temporary copy on your device is deleted after processing. Notes and transcripts live in your workspace with each page's sharing settings. On Free, Plus and Business, Notion's AI providers keep data for up to 30 days; Enterprise uses zero data retention for most models. Starting a Notion recording confirms that everyone consented, and Notion offers consent messages to send.

Try the same status question

Pick one project with a call this week. In Notion, ask Notion AI where the project stands. Then connect Cachejay to Claude or ChatGPT and ask the same question. Check each answer against what was actually decided on the call and done since: which one knew about work nobody wrote down?

Moving a board too? Import from Linear or Jira, or see pricing.

Questions

Which Notion plans include AI Meeting Notes?

Business and Enterprise. Free and Plus list a limited trial of Notion AI, which covers meeting notes, Notion Agent and Enterprise Search.

Does Notion AI Meeting Notes use a bot?

No. The Notion desktop app records your system audio and microphone, so it hears both sides of a call. In the browser it hears only your microphone, and on a phone only the phone’s microphone.

Is there a limit on Notion meeting notes?

Notion’s help page lists 10 hours of meeting notes per user per day, in 16 languages. Speaker labels are English only.

Can I use Cachejay and Notion together?

Yes. Notion has its own MCP server, so Claude Code, Cursor or Codex can connect to both: Notion for the pages your team keeps there, Cachejay for the calls, screen and agent sessions behind them.
