Notion AI Meeting Notes: headphones, Zoom, consent, limits
Will the other people know? Does it work with your headphones on? Is it free? Here are the direct answers from Notion’s own pages, plus how to get a reliable recording on the desktop app.
We make Cachejay, which also takes meeting notes, so weigh our view accordingly. Details about Notion come from its help and pricing pages, read on November 4, 2026. We haven’t scored its transcripts or notes in a test.
The quick answers
- Bot: none. Nothing joins the call.
- Notifies others: not automatically. Telling them is on you.
- Headphones: fine in the desktop app, a problem in the browser and on a phone.
- Zoom, Meet, Teams: use the desktop app.
- Free: a limited trial on Free and Plus. The full feature is on Business and Enterprise.
- Limit: 10 hours per user per day.
How to start
- Open the Notion desktop app, version 4.7.0 or later, on macOS 13 or later or the latest Windows.
- Type
/meeton any page. In the browser or the mobile app, you can also use the Meeting notes tab in the sidebar or the compose button. - Get consent, then start the transcription.
If you connect your calendar (sidebar, then Meetings, then Connect your calendar), you may see Join and transcribe on an event from 15 minutes before it starts, depending on your settings.
What it can hear
Most problems come from which app you’re recording in:
| Other people on a video call | With headphones | Best for | |
|---|---|---|---|
| Desktop app | Yes, through system audio | Yes | Video calls |
| Browser | Only what your mic picks up | No | A quick in-room note |
| Mobile app | Only what the phone’s mic picks up | No | In-person meetings |
So if a transcript has only your side of the call, you were almost certainly in the browser or on your phone.
Notifying other people
Notion doesn’t add a participant or announce itself in the meeting app. Starting a transcription counts as confirming that everyone has consented, so that step is your job. You can:
- Copy a text message into the meeting chat.
- Play a voice message, by hand or automatically at the start of each transcription.
- Just ask: “Alright if I record and transcribe this meeting?”
The voice message plays through your computer’s speakers, not your conferencing mic, and Notion says to disconnect headphones so the room can hear it. Don’t assume people on the far end of a call heard it. In a video call, say it yourself or paste the text into the chat.
Workspace owners can require the consent message for everyone with Enforce consent for all workspace members under Settings › Meeting notes. Recording laws vary by place and some require everyone’s consent, so check what applies to you.
Sharing is separate. Each note has its own sharing settings, and with auto-share off, meeting participants don’t get access automatically. Notes in a shared database may inherit that database’s access, which is worth checking before you record something sensitive.

- Daily limit: 10 hours per user.
- Shortest summary: at least 300 transcribed characters, roughly one minute of speech.
- Uploads: AAC, M4A, MP3 and WAV, through Upload audio in the block’s settings.
Speakers and languages
Speaker labels work best in virtual one-on-one meetings, are available in English only, and apply within a single meeting, so Notion won’t know a voice from last week. In group calls, Notion’s help describes two ways to get names: the Zoom option on a Mac, and the Meetings browser add-on for Google Meet.
Listed transcription languages: English, Chinese, Spanish, French, German, Japanese, Korean, Portuguese, Russian, Thai, Vietnamese, Danish, Finnish, Norwegian, Dutch and Swedish.
Where the audio goes
- Desktop and browser: audio goes directly to Notion’s sub-processors, which Notion says don’t store it.
- Mobile: audio is uploaded to Notion’s servers first.
- Uploaded files: stored on Notion’s servers.
- Local copies: an option, off by default on all plans. When it’s on, the 10 most recent recordings stay on the recorder’s device, and only the recorder can download them.
Notion names OpenAI, Anthropic, Fireworks, Baseten Labs, X.AI and AssemblyAI among its sub-processors. If your company has rules about this, give that list to whoever approves tools.
When it doesn’t work
- “Not available in this workspace”, or no
/meet: check that you’re on Business or Enterprise, then ask a workspace owner to turn it on under Settings › Meeting notes. - Only your voice in the transcript: you’re in the browser or on a phone. Use the desktop app.
- It won’t start, or transcription fails: check your OS version, update the app, then reload or restart.
- No summary: the meeting may be under the 300-character minimum.
- No speaker names: check the language is English, and turn on the Zoom option or install the Meet add-on.
Is it worth it?
If your team already pays for Business and keeps its docs in Notion, it’s the obvious first thing to try: nothing to install beyond the desktop app, and notes land next to your work. Run it on a real call with several people before relying on it.
It’s harder to justify if you’d upgrade only for this. Granola has a free plan with limited history and a Business plan at $14 per user a month, and Notion’s other Business features are the real reason to pay $20. Best AI note takers without a bot compares five options on price, free limits and what your AI apps can read.
The gap in any meeting tool is everything outside the meeting. Cachejay takes call notes on your Mac and also keeps your screen and coding-agent sessions, so ChatGPT or Claude can answer “what did we agree, and did I do it?” It’s Mac-only and doesn’t put notes in your team’s Notion by itself. Notion AI vs Cachejay shows where each one fits.
