How to hand off your work before a vacation

A handoff that takes fifteen minutes and stays current while you're away: share the project, add the places its work lives, put what's open on the board with owners, and read what your cover will see.

This assumes you and your cover are on the same Cachejay team. The same steps work for a campaign, a client, a set of deals, a hire or a codebase.

1. Share the project

Open the project's page on cachejay.com and choose Share with your team, or turn it on from the team page. Sharing a project shares the projects inside it too, so sharing “Spring campaign” also shares its landing page and email sequence.

It also moves your boards for those projects onto the team, where your cover can take cards and change them. Nothing else you have is shared.

The project's page has a Links section. Add the places the work lives, each with a short label:

  • The brief, the plan or the spec.
  • The working files: the Figma file, the deck, the spreadsheet, the repository.
  • Where results show up: the dashboard, the CRM view, the staging site.
  • Where the conversation happens: the Slack channel, the client's shared folder.

Never a password or a key. Link to where it's kept instead.

3. Put open work on the board

Your cover will look at the board for what's left. Each open piece of work should be a card with an owner: you for what's yours, the right person for the rest. A card with no owner is a question your cover will have to ask someone.

If something is only in your head, like a promise to a client or a date someone is waiting on, write it on a card. That's the one part Cachejay can't find for you.

4. Read what your cover sees

Ask your AI app where the project stands, the way your cover will: “where does Spring campaign stand?” Teammates see the same status, links and board beside their own projects. Read it as if you knew nothing about the project. If something is stale, say so (“the launch moved to the 4th”) and the status is corrected and stays corrected.

Or ask your AI app

Claude, ChatGPT, Claude Code, Codex and Cursor can do most of this with Cachejay connected. Change the project and the links to yours:

I'm away from Monday to Friday next week. Get my "Spring campaign"
project ready for whoever covers:
1. Share it with the team (save_project, shared: true).
2. Add its links: the brief, the Figma file, the dashboard. Find the
addresses in my recent activity; ask me for any you can't find.
3. Make sure its open work is on its board, each card with an owner.
Don't reassign anything without asking me.
4. Tell me where it stands, as a teammate would see it, and what's
   missing or out of date.

Shared Spring campaign and Landing page with Acme. Moved the Spring plan
board to the team.

Added links: Brief, Figma file, Analytics dashboard.

What your cover will see is mostly current. Two gaps:
· Paid social has no owner. Who should it be?
· The status still says the launch is the 1st. Is that right?

When you're back

Start with your inbox on the boards page: each ticket you're on that changed while you were away is there, unread, with who changed it. The project's status already includes what your cover's AI apps reported. If you'd rather the project were yours alone again, stop sharing it on its page. The notes leave the team; the boards stay there, since they may still be in use.

The other side of this is how to pick up a teammate's project. How shared projects work day to day: how teammates work on the same project.

Questions

How long before I leave should I do this?

A day or two. Then the status reflects your last real work, and your cover has time to ask you anything the handoff doesn’t answer.

Do I still need a handoff doc?

Usually not. The shared project is the handoff, and unlike a doc it stays current until you go. If there’s something only you know, like a promise made in a hallway, put it on a card or in a team doc.

What should never go in the links?

Passwords, API keys and anything else secret. Link to where the secret is kept (your password manager’s shared vault), never the secret itself.

Does sharing a project share all my work?

No. Only that project and the projects inside it: their status, links, boards and call notes. Your screen, other projects, to-do list and agents’ notes stay yours.
