How to pick up a teammate's project while they're out
You're covering for someone. Here's how to get the whole picture in a few minutes from what they shared in Cachejay, take over the right pieces, and leave a trail they can follow when they're back.
This works when your teammate shared the project on your Cachejay team. If they haven't, ask them to. It takes one click on the project's page, or one sentence to their AI app.
1. Read where it stands
On cachejay.com, open the team page. Your teammates' projects lists what each person shares. Open theirs and you get, on one page:
- Its status: what's going on, done lately, open and next, each line with when and where it came from.
- Its links: the brief, the files, the dashboards.
- The projects inside it, each with its first status line.
- Its boards, with the cards still open, theirs listed first.
- The calls about it, each one opening to its notes.
Or ask your AI app. With Cachejay connected, Claude, ChatGPT, Claude Code, Codex and Cursor see your teammates' shared projects beside your own:
› what did Priya leave open on Northwind? ⎿ cachejay · projects_now Northwind, shared by Priya. Status from Oct 20: renewal call on the 29th; Dana wants SSO confirmed before rollout past 50 seats. Priya's open cards on Sales pipeline: · Northwind renewal (Proposal sent) · Send the security questionnaire (To do, due Oct 24) Last call: Oct 17, Northwind QBR. Links: CRM record, Proposal deck.
2. Take the cards you'll own
Put your name on the cards you're taking over, on the board or by asking your AI app (“put the questionnaire card in my name”). Leave the rest alone. When they're back, the board says which work changed hands and which didn't.
3. Ask before you ask them
Before you message someone on vacation, search what they shared. “What did Dana say about SSO?” finds the call and the quote. Search the team's notes on the team page, or ask an AI app, which uses team_search. Most questions are answered in a call note or a card.
4. Leave a trail
When you finish or change something, say so on its card: everyone on the ticket, them included, gets it in their inbox, waiting unread for when they're back. If you work with an AI app, it tells Cachejay what you did with report_progress, and on a shared project that goes onto the project's status, saying it came from you.
Prompts by role
- Marketing: “I'm covering Jo's spring campaign. What has to ship this week, and what's waiting on someone else?”
- Sales: “Prep me for Priya's Northwind renewal call from what she shared: what they asked for, what she promised, what's still open.”
- Design: “Which round of client feedback is current on the Acme rebrand, and where's the file?”
- Engineering: “Pick up the checkout work Alex shared. Start with what's blocked, and put the cards you take in my name.”
- Anyone: “List what my team shares and whose it is.”
