Cachejay for sales: call prep, follow-ups and a CRM that keeps up

Sales runs on remembering: what the buyer said, what you promised, what changed since the last call. Most of it lives in your head until Friday, when you try to put it in the CRM. Here's how salespeople hand that remembering to ChatGPT and Claude, with the exact requests.

The setup is the same for everyone: Cachejay runs on your Mac, takes notes on your calls and your screen, and files them by account or project. ChatGPT and Claude read those notes when you ask, on your Mac, on the web or on your phone. Nothing below needs a template.

Before the call

Prep from the last conversation, not from memory

The worst prep is rereading the CRM and finding one line from three weeks ago. Cachejay has the transcript of every call you were on, the notes written from it, and the emails and docs you had open about the account.

“Prep me for the Northwind call. What did they ask for last time, and what's still open?”

Last call Oct 9 with Dana (VP Ops) and Priya (IT).
· Dana wants SSO before rollout past 50 seats.
· Priya asked for the security questionnaire. You said you'd send it by the 13th. Not sent yet.
· Open: annual vs monthly. Dana said finance prefers annual if there's a discount.
Suggested opener: confirm the SSO timeline, then send the questionnaire live.

That “not sent yet” is the useful part. It comes from the to-do list Cachejay keeps of what you said you'd do.

Two minutes before, on your phone

Add Cachejay to ChatGPT or Claude on your phone once, with the connector URL. Then in the lobby:

“Three things I should know before I walk into Acme.”

On the call

No bot joins. That matters more in sales than anywhere: a notetaker in the attendee list changes how candid a buyer is. Cachejay transcribes from your Mac's audio and doesn't keep the audio.

A small notepad floats in the corner during the call. Type a few words when something matters (“budget approved Q1”, “Legal is the blocker”). Afterwards the AI writes the notes around your points: a summary, a section per topic, decisions, and action items with owners. How meeting notes work.

After the call

The follow-up, in their words

A good follow-up repeats the buyer's own words back to them. Those words are in the transcript.

“Draft the follow-up to Dana. Use her words for the problem, list what we agreed, and propose two times next week.”

The CRM, in one sentence

ChatGPT and Claude can already write to HubSpot and Salesforce through their own connectors. What they were missing is knowing what happened on the call.

“Log today's Northwind call in HubSpot, update the deal stage, and set the next step.”

Do it before the next call starts and the CRM stops being a Friday chore. HubSpot · Salesforce.

Everything you promised

“What did I promise people on calls this week, and which ones haven't I done?”

Keeping the pipeline honest

Forecast calls go wrong when the CRM says one thing and the last conversation said another. Ask for the gap directly.

“Which deals did I talk to this week where the CRM stage doesn't match what they said on the call?”

Claude reads your call notes from Cachejay and the deals from your CRM connector, and lists the mismatches. You decide what to change.

The same works for objections. Across a month of calls, the pattern is hard to see from inside it:

“What pricing objections came up on my calls in October? Quote them.”

Handoffs

The deal closes and goes to onboarding, or a solutions engineer joins for the technical call. The context usually travels as a rushed Slack message.

With Cachejay for Teams, you share the account's project. Its page and the notes from calls about it become searchable by the team, and by their copies of ChatGPT and Claude. Your screen text and your other accounts stay private.

“What did sales promise Northwind about SSO, and when?”

The person asking gets the answer from the call notes, with the date, without interrupting you.

A week, as prompts

  • Monday morning: “What’s open across my accounts, and what did I promise each one?”
  • Before each call: “Prep me for Northwind: what changed since last time?”
  • After each call: “Log it in HubSpot and draft the follow-up.”
  • End of day: “What did I say I'd do today that isn't done?”
  • Friday: “Write my weekly update for my manager: calls, movement, risks. Five bullets.”

The Friday one works because Cachejay already wrote the days and the week. More on updates.

What it does and doesn’t do

  • Cachejay never writes to your CRM itself. ChatGPT or Claude does, through the connector you've already approved, so you see each change.
  • It only knows about calls you took on your Mac. A call on your phone isn't in it.
  • It never reads password managers, private windows, password fields, or apps you exclude.
  • Recording and transcription rules differ by country, state and company. Tell people you're taking notes, and follow your company's policy.
